Job Title: Administrative Officer
Reporting to: BEL Corporate Services Manager (Functionally)
Business: Brockwell Energy Ltd
Location: Westfield ERF (near Kinglassie) – Fife
We are seeking a motivated Administrator Officer to join our team at Kinglassie, Fife, where you will support the client team overseeing the operation of an Energy from Waste site. This site-based role is offered on a permanent basis with opportunity to develop within a growing company in the renewables sector. The position is open to both full-time and part-time applicants.
Key Responsibilities
The Administrator Officer will provide vital day-to-day support to the BEL Project Manager with a small dynamic team responsible for running the Energy from Waste facility. You will also act as an office manager for the client’s site office and play a key role in preparing for and organising Board of Director meetings.
Your responsibilities will include:
- Scheduling meetings and ensuring timely communication of information to the Brockwell team and stakeholders.
- Preparing for Board of Director meetings, including coordinating agendas, materials, and logistics.
- Managing project documentation and maintaining an organised electronic filing system.
- Assisting in the preparation of regular reports, taking meeting notes, and tracking action points.
- Supporting financial administration, including payment processing and allocation.
- Managing queries from internal and external stakeholders.
- Overseeing general office management tasks, including supplies, organisation, and maintaining a productive working environment.
- Supporting team members with travel arrangements, expenses, filing, printing, and photocopying.
- Handling correspondence and queries via email or telephone across the business/project.
Key Skills and Experience
The ideal candidate will have:
- Experience in environments requiring professionalism, accuracy, and attention to detail.
- The ability to work effectively within a small, dynamic, and collaborative team.
- Familiarity with accounting systems such as Sage (preferred but not essential).
- Proficiency in Microsoft Word and PowerPoint.
- Intermediate skills in Microsoft Excel.
- Strong general IT skills and confidence in using technology.
- A proactive, problem-solving approach.
- Strong organisational skills and the ability to prioritise workloads effectively.
- Flexibility and a team-oriented mindset, including the willingness to suggest improvements.
- Excellent communication skills, both written and verbal.
